ERP Software for Manufacturing Before You Approve Development

Article body starts below
ERP software for manufacturing should be evaluated against a real production journey. A factory needs to know how materials, purchasing, production, finished goods and sales relate. A long feature list does not show whether those records will agree when staff use the system during an ordinary shift.
Before choosing a product or commissioning custom development, document one representative order from receipt to delivery. Include the exceptions that create work today. The purpose is to define what the system must support and what the team must change operationally.
Start with a representative production order
Choose a product that reflects the factory's normal complexity. Record what is purchased, what is consumed, how production is authorized and how finished stock is accepted. Identify where quantities are currently written down and who trusts each record.
Include subcontracted work if it is part of the process. If materials leave the factory and return later, the system needs to represent that movement. Do not assume that a standard demonstration covers the way your operation actually works.
Use this journey as a shared test script when comparing vendors. Ask each team to show the same events rather than letting every presentation demonstrate a different easy example.
Clean product and material definitions
Agree on item identifiers, units of measure and product variants. A material recorded in kilograms in one place and pieces in another needs a verified conversion where that is appropriate. Inconsistent definitions can make inventory appear precise while remaining unreliable.
A bill of materials describes the components needed to make a product. Depending on the system and scope, it may also relate to production operations. Odoo's bill of materials documentation provides one product-specific example; it does not establish the right platform for every factory.
Decide who can create or change these definitions and how revisions are approved. A production order should use the intended version. Record scrap, rework and substitutions according to rules the factory can consistently follow.
Compare configuration with custom development
An existing ERP may cover much of the workflow through configuration. Custom development may be justified when a material requirement cannot be supported sensibly by the available system. Make that decision after testing the workflow and understanding the ongoing maintenance implications.
Ask what is included in the proposal. Software licensing, implementation, data migration, training, integrations and support may be separate items. A low initial quote can describe a smaller scope rather than a lower total cost.
For operations in Egypt, Saudi Arabia or the UAE, finance and compliance specialists should verify the relevant accounting and invoicing requirements separately. Do not accept a general regional claim as proof that a specific integration or obligation is covered.
Test inventory movements and exceptions
Run a sample journey with fictional data. Receive materials, reserve them where appropriate, issue them to production, record completion and dispatch finished goods. Reconcile the quantities after each stage.
Then test exceptions: partial production, damaged materials, returned goods and a corrected entry. Ask how authorized staff reverse a mistake and how the system records the change. An audit trail is useful only when people can understand what happened and who changed it.
If batches or serial numbers matter to the operation, test the required traceability explicitly. The need varies by product and process. Include the factory's responsible quality team when defining acceptance criteria.
Prepare migration and training as part of the project
List the records that will move into the new system, their owners and the checks needed before import. Decide how opening balances will be agreed and how old records remain available. Importing every historical spreadsheet without review can transfer existing problems into the new environment.
Train people around their actual tasks. A storekeeper, production planner and sales administrator need different practice. Use realistic scenarios and confirm that staff can complete them without relying on the implementer for every step.
Agree a cutover plan, backup arrangements and a way to recover if the launch cannot proceed as intended. Start with an appropriate scope and expand when the essential records and responsibilities are working.
Questions to resolve before signing
Must the factory replace every system at once
No. A phased project may be suitable if the temporary boundaries and data transfers are defined. Avoid creating two competing sources for the same stock balance or production status.
What should an ERP demonstration prove
It should show the agreed production journey, required reports and relevant exceptions. Ask for evidence tied to your workflow rather than a tour of screens.
What belongs in the support agreement
Define response arrangements, included maintenance, responsibility for third-party products, access ownership and the process for requesting changes. Confirm how data can be exported if the business needs to move later.
